Terms of Service

These Terms govern your use of Qone (the "Service"). By accessing or using the Service, you agree to these Terms.

1. The Service

Qone provides AI-assisted project management software for SME teams. The Service includes:

  • Project, HR, and finance management features
  • AI agents (PM Agent and others)
  • Integrations with Slack, MCP clients, and other tools
  • Mobile and web access

2. Account

You must provide accurate information when creating an account. You're responsible for keeping your credentials secure and for all activity under your account.

Workspace Owner has authority over the workspace. Members have access per their role permissions.

3. Acceptable use

You will not:

  • Use the Service to violate any law
  • Attempt to reverse-engineer or breach security
  • Use the Service to send spam or abusive content
  • Resell or sublicense the Service without permission
  • Use the Service in a way that disrupts other users

3. Subscription and Billing

  • The Service is billed in advance on a monthly or annual basis.
  • Subscriptions automatically renew unless cancelled before the renewal date.
  • Payments are processed by our payment provider (Paddle).
  • We will notify you of price changes at least 30 days before the renewal date.

4. Acceptable Use

You agree not to:

  • Use the Service for illegal activities
  • Attempt to gain unauthorized access to systems or data
  • Interfere with the operation or security of the Service
  • Upload malicious code or harmful content

We reserve the right to suspend accounts for misuse.

Certain features of the Service may be powered by third-party AI providers. By using these features, you acknowledge that your content may be processed by these providers solely to deliver the requested functionality. These providers do not use your content to train their models unless explicitly stated.

5. Customer Data

You retain ownership of all data you upload to the Service.

You grant us a limited right to host, process, and transmit your data solely to provide and improve the Service.

We implement reasonable security measures, but you are responsible for the content you store.

QONE provides invoicing and billing features for internal tracking and management purposes only. Documents generated by QONE are not tax invoices and do not satisfy statutory invoicing obligations under any jurisdiction. You are solely responsible for issuing tax-compliant invoices through a certified accounting or e-invoicing provider as required by applicable law.

4. Subscription & billing

  • Plans: Starter ($29/seat/mo), Team ($79/seat/mo), Business ($149/seat/mo)
  • 14-day free trial. No charge until trial ends.
  • Monthly subscriptions cancel anytime, take effect end of billing cycle
  • Annual subscriptions: prorated refund if cancelled early
  • Beta members: 30% lifetime discount once converted to paid
  • Pricing may change with 30 days notice for existing subscribers

5. AI features

AI agents are provided as-is. While we strive for accuracy:

  • AI suggestions are not guarantees. You're responsible for approving actions.
  • AI may occasionally make mistakes. We provide rollback and approval gates to mitigate.
  • AI cost is included in subscription up to typical usage. Excess usage may be subject to discussion.

You are responsible for all actions executed by AI agents on your behalf. Qone provides reasoning trails, approval gates, and rollback to help you supervise.

6. Beta program

While in beta:

  • The Service may have bugs or undergo significant changes
  • No SLA guarantees (we aim for 99% uptime but don't legally commit)
  • Features may be added, removed, or modified
  • Beta members get 30% lifetime discount
  • We may contact you for feedback (you can opt out)

7. Data ownership

You own your data. Qone holds it only to provide the Service.

You can export all data anytime (Settings → Data → Export). On account deletion, data is soft-deleted 30 days then permanently erased.

7. Termination

You may cancel your subscription at any time. Access will continue until the end of the billing period.

We may suspend or terminate access if:

  • You violate these Terms
  • Required by law
  • Necessary to protect the Service or other customers

Where reasonably practicable and not prohibited by law, we will provide reasonable advance notice before Company-initiated termination to allow you to export your data.

8. Confidentiality

We treat your workspace data as confidential. Access is limited to Qone team members with legitimate operational need. All access is logged.

9. Intellectual property

Qone retains all rights to the Service, software, and documentation. You retain rights to your content.

You grant Qone a limited license to process your content as necessary to provide the Service.

10. Liability

To the extent permitted by law, Qone's total liability is limited to fees paid in the 12 months preceding the claim.

Qone is not liable for indirect, incidental, or consequential damages.

11. Termination

Either party may terminate:

  • You: cancel anytime in Settings or by emailing [email protected]
  • Qone: 30 days notice for non-payment or breach; immediate for serious violations

Upon termination, you have 30 days to export data before permanent deletion.

12. Changes to Terms

We may update these Terms. Material changes will be notified via email at least 30 days in advance. Continued use after notice constitutes acceptance.

13. Governing law

These Terms are governed by the laws of Vietnam. Disputes resolved in Hồ Chí Minh City courts unless EU customers, where local law applies.

13. Slack Integration

When you connect Qone to a Slack workspace, you authorize Qone to access and interact with that workspace using the permissions you grant during installation. You are responsible for ensuring your use of the Slack integration complies with Slack's Terms of Service and your organization's policies. Qone is not affiliated with Slack Technologies. You may disconnect the Slack integration at any time from your workspace settings.

14. Indemnification

You agree to indemnify and hold harmless QDN, its affiliates, officers, and employees from any claims, damages, or expenses arising from your use of the Service, your violation of these Terms, or your violation of any rights of a third party.

15. Data Processing Agreement

Where required by applicable data protection laws, when you use QONE as a business you act as the data controller and QONE acts as the data processor. By accepting these Terms, you enter into a Data Processing Agreement with us.

As your data processor, QONE commits to: (a) process personal data only on your documented instructions; (b) not use your data for any purpose other than providing the Service; (c) maintain a list of sub-processors, available at qone.work/sub-processors or upon request, and notify you at least 14 days before adding new sub-processors; (d) assist you in fulfilling data subject rights (erasure, export, access); (e) delete or return all personal data upon termination of the Service; (f) implement appropriate technical and organisational security measures including AES-256 encryption, access controls, and audit logging.
