Storage

Beginner4 min read

Track and manage every file your workspace stores — task attachments, comment attachments, and more — with a live usage bar, a searchable file browser, and one-click deletion.

Key concepts

  • Storage Quota: The total storage your plan allows. Shown in gigabytes or as "Unlimited".
  • Used Storage: The running sum of every attached file's size across tasks and comments.
  • File Source: Where the file was uploaded — currently Task Files (attached to a task) or Comment Files (attached to a comment).
  • Quota State: Blue (normal usage), Yellow (above 90% used), Red (over quota). Over-quota blocks new task and comment attachment uploads until files are deleted or the plan is upgraded.
  • Per-File Cap: Each individual upload is capped at 200 MB, regardless of how much quota is left.

How to

Step-by-step

  1. Navigate to Settings > Storage.

  2. The top usage card shows:

    • A progress bar: used / limit (e.g., 380 MB / 500 MB)
    • The bar is blue normally, turns yellow above 90% used, and red when over quota
    • Warning banners appear when you are near or over the limit
  3. The stats grid shows:

    • Total files — overall count
    • Total size — overall usage
    • Task attachments — count of files attached to tasks
    • Comment attachments — count of files attached to comments

Delete a File

  1. Hover a row and click the Delete (trash) icon.

  2. Confirm in the modal.

  3. The file is removed from storage and the task/comment no longer shows it as an attachment. This cannot be undone — the original file is permanently deleted.

Tips & best practices

  • Watch the indicator color, not the percentage. Yellow (above 90%) is the time to plan cleanup; red (over quota) is the time to act.
  • Comment attachments accumulate fast in chatty projects. Sort by size to find the biggest offenders first.
  • Delete before exporting. Once a file is deleted it is gone for good, so if you need it for archival, download first.
  • Plan upgrades add storage instantly. If you hit the cap mid-week, upgrading in Billing unblocks uploads within seconds of the payment clearing.
  • Avatars do not count toward this quota at all, and logos and expense receipts use separate upload paths that the quota does not block — only task and comment attachments are tracked here. Check the usage card for the authoritative number.
