Leave Management

Submit leave requests, track your leave balance, and manage approvals -- all in one place. Managers can review, approve, or reject requests with full visibility into team availability.

Key concepts

  • Leave Type: The category of leave being requested -- Annual, Sick, Maternity, Paternity, Emergency, or Unpaid. Your workspace admin can configure custom leave types.
  • Leave Status: Where a request sits in the approval process -- Pending, Approved, or Rejected.
  • Half-Day Leave: Take only half a day off, either First Half (Morning) or Second Half (Afternoon) of the working day.
  • Leave Balance: A summary of your entitled days, days used, days carried over, and any adjustments for the current year.
  • Auto-Approve: If enabled by your admin, leave requests under a certain number of days may be automatically approved.
  • AI Enhancement: An optional AI feature that can help you write a more professional leave reason.
How to

Step-by-step

Viewing Leave Requests

  1. Navigate to HR > Leave from the sidebar.

  2. Review the stats strip showing Total Requests, Pending, On Leave Today, and Remaining Balance (your remaining annual leave days for the year).

  3. Use the filter pills to show All, Pending, Approved, or Rejected requests.

  4. Use the Search field to find requests by employee name, leave type, or reason.

  5. Use the date range picker in the filter bar to narrow results to a specific time period.

  6. Click any leave request row to view its full details.

Submitting a Leave Request

  1. Navigate to HR > Leave.

  2. Click the Request Leave button in the top-right corner.

  3. Select a Leave Type from the dropdown (e.g., Annual, Sick, Emergency).

  4. Toggle Half-Day Leave on if you only need half a day off.

  5. If half-day is on, select the Period (First Half — morning, or Second Half — afternoon) and pick a single Date.

  6. If half-day is off, pick a Start Date and End Date for your leave.

  7. Enter a Reason for your request.

  8. Optionally click the sparkle icon next to "Reason" to use AI to enhance your reason text. Review the suggestion and click Accept or dismiss it.

  9. Click Submit to send the request.

  10. Review the Guidelines sidebar for reminders about your organization's leave policies.

Viewing a Leave Request Detail

  1. Open a leave request from the list.

  2. Review the full details: employee name, leave type, dates, number of days, half-day indicator, reason, and current status.

  3. If you are an approver (a user with leave-approval permission) and the request is pending, you can take action:

    • Click Approve to approve the request.
    • Click Reject to reject the request (provide a rejection reason).
  4. If you submitted the request and it is still pending, you can:

    • Click Edit to modify the dates or reason.
    • Click Delete to withdraw the request (a pending request you own is removed; there is no separate "cancel" action).
  5. Use the Comments section to add notes or follow-up questions on the request. You can delete comments you posted.

Approving Leave

  1. Navigate to HR > Leave.

  2. Click the Pending filter to see only requests awaiting approval.

  3. Click a request row (or its eye icon) to open the leave detail page.

  4. If you have leave-approval permission and the request is still Pending, the Approve and Reject buttons appear:

    • Click Approve to approve the request.
    • Click Reject and provide a rejection reason to decline it.

    Any user with leave-approval permission can approve or reject any request -- approval is not restricted to the employee's assigned manager.

Editing a Pending Leave Request

  1. Open a leave request that you submitted and is still in Pending status.

  2. Click Edit.

  3. Update the leave type, dates, half-day setting, or reason.

  4. Click Save to update the request.

Tips & best practices

  • Submit leave requests as early as possible -- many organizations require advance notice.
  • Check your leave balance before submitting to make sure you have enough days.
  • Use half-day leave for doctor appointments or short personal errands instead of taking a full day.
  • Write a clear, concise reason so an approver can act quickly. Use the AI enhance feature for a polished reason.
  • Approvers should review pending requests regularly to avoid bottlenecks.
  • If your admin has enabled auto-approve for short leaves (e.g., 1-2 days), those requests will be approved automatically upon submission.
